Church Bus Policy

USE OF BUS

  1. The Church Bus is intended for use for ministry-related activities including outreach and community activities sponsored by the Church.  The bus is not for personal use and is not authorized to be used for hire.

SCHEDULING

  • All requests for use of the church bus should be made through the church office utilizing the reservation form.
  • Groups and ministries should channel requests through their respective ministry team leaders.  External/additional events will be assessed on an individual basis.
  • When there is a conflict of schedule, priority is first given to regularly scheduled services, followed by a first come first serve basis of applications made by ministry team leaders.
  • Groups using the bus are responsible for securing a driver from the approved list of drivers.  Only approved drivers authorized by the Church Board are permitted to drive the vehicle.

FUEL COSTS

  • Fuel costs will only be reimbursed for regular usage connected to Local Church or District-related programs and services. 
  • When groups or ministries use the bus for purposes other than regular ministry use (e.g. outings), the group or ministry shall bear fuel costs.
  • When applying for refunds, drivers should present an official receipt obtained from the service station.

PICK UP/DROP OFF for SERVICES

  • The transport coordinator will establish and publish designated pick-up points. Priority for pick up/drop off will be determined by the greatest number of persons served.
  • Members are responsible for contacting the transport coordinator to arrange for transport for pick up and drop off at least 24 hours in advance.  Members are also responsible to be in place and on time for pick up and drop off.

OPERATION GUIDELINES

  • Drivers must exercise due diligence to drive safely and to maintain the security of the vehicle and its contents. The use of cell phones (including texting) while behind the wheel of a moving vehicle being used on company business is strictly prohibited. Employees are responsible for any driving infractions or fines as a result of their driving.
  • At every trip the driver must complete a pre- and post-trip inspection of the bus to assess the condition and cleanliness of the bus.  The driver should also complete the Log Report located in the bus.  The log report should include start and finish mileage and the destination/purpose of the trip.
  • The consumption of food and beverage is prohibited in the bus.  Smoking, drugs, or alcohol beverages are not permitted on the bus.   All drivers and passengers are expected to conduct themselves in a manner that exemplifies Christian character.
  • The bus should be refueled at the end of every trip or before it crosses the ½ mark point. The tank should not be left less than ½’ filled.
  • The interior of the bus should be cleaned by the group using the Bus.  The Bus should be returned in a condition ready for use by any subsequent use.  Any damage or vandalism will be the responsibility of the person or group using the bus. 
  • Drivers are not permitted, under any circumstances, to operate the church bus when any physical or mental impairment causes the employee to be unable to drive safely. Drivers should not operate the church bus when consuming alcohol, illegal drugs or prescription medications that may affect their ability to drive.
